Operations Executive
We are looking for an Operations Executive to join our Financial Planning team.
Team
Buzzacott Financial Planning is a trusted team of 18 people, including 3 partners, who work closely with private clients and organisations. We help high net worth private clients to maximise use of their wealth to realise their financial objectives. We help business provide competitive employee benefit solutions to their staff. Clients rely on us to provide ongoing independent financial planning advice at various key stages of their lives.
As an FCA regulated financial advisory business we are required to maintain strict controls within the business for advice to clients and record keeping.
We use a range of software solutions to provide services to clients, but our main back-office system is Iress Xplan which is used to record client information, as a document management system, manage portfolios and record revenue. We have a key operational objective to use technology to improve efficiency and want to expand the resources in the team to implement the necessary changes.
Role Overview
This role involves supporting projects that drive efficiency, regulatory compliance, and operational excellence within the financial planning team. In addition, the role will require collaboration alongside a small team to execute projects that enhance business operations, client service, and regulatory adherence.
Duties and Responsibilities
- Assist in planning, coordinating, and executing compliance-related projects across the Financial Planning team.
- Work closely with the compliance director and operations director to ensure projects align with business needs and regulatory requirements.
- Monitor project timelines, track progress, and report on key milestones.
- Support compliance initiatives by ensuring processes meet FCA and industry regulations.
- Maintain documentation and audit trails for all project-related activities.
- Assist in implementing new regulatory frameworks and policies.
- Support day-to-day operations within the Financial Planning team, ensuring smooth delivery of ongoing projects within specified timeframes.
- Develop and maintain training materials for various team roles to support use of systems and adherence to processes.
- Develop and maintain guides and other documents including VISIOs to document processes.
- Test changes in Xplan following work completed by the external software developers and provide feedback.
- Assist in coordinating the work completed by the external software developers to ensure successful outcomes within desired timescales.
- Assist with data collection, report preparation, and analysis for compliance and operational reviews.
- Identify and implement process improvements to enhance team efficiency and compliance.
- Provide administrative and logistical support for project meetings, including preparation of materials and minutes.
- Act as a key point of contact for project-related queries within the team.
- Communicate project updates effectively to stakeholders at all levels.
Skills and Experience
- A Level-qualifications or equivalent.
- Demonstrable experience in project support within the Financial Services sector.
- Knowledge of compliance frameworks, particularly within Wealth Management or Financial Planning.
- Knowledge of Iress Xplan and Iress Commpay.
- Strong organisational skills, with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills, capable of working with diverse stakeholders.
- Attention to detail, with a methodical approach to problem-solving and compliance adherence.
- Experience working on FCA-regulated projects or within a compliance function.
- Familiarity with financial planning software and CRM systems.
- Relevant project management qualifications (e.g., PRINCE2, Agile) are advantageous but not required.
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Excellent verbal and written communication skills.
- Ability to work both independently and collaboratively in a hybrid working environment.
- Able to prioritise workload and be self-sufficient; multi-tasker; problem solving skills.
- Displays ethical judgement.
