HR Team Administrator
We are looking for a HR Team Administrator to join our internal HR Professional Support team.
Team Overview
Our internal HR team of 14 are a key division of our Professional Support team. The HR team provides varied HR support to the firm across the entire employee lifecycle including, talent acquisition, onboarding, talent development, retention and separation.
Role Overview
To provide administrative support to the HR Team. This role will be responsible for managing administrative actions for the full employment life cycle, including recruitment, onboarding and offboarding.
What You’ll Be Doing
Prepare and distribute weekly team meeting agenda and accompanying documents.
General daily admin support to the wider HR team as required.
Be a part of the Senior Admin team, attending meetings and taking applicable actions forward.
Support the wider HR team with meeting notes for the staff networks and staff forum.
Process invoices, update team schedule, supporting with room bookings/events.
Prepare HR reports and reference letters as required.
Complete automated HR System tasks as directed to support general administration processes.
Ensure that the HR System is always up to date.
Draft communication, for review by other HR Team members to be posted on the intranet, where appropriate.
Respect and maintain the confidentiality of any sensitive information received as part of this role.
In the HR Assistant’s absence, support the HR Partner with relevant tasks such as diary management, submitting expenses and any other ad-hoc tasks required.
Ensure accurate recording of requests to join payroll deductible benefit schemes.
Purchasing of gifts, birthday cards for the team, team events and firm.
Draft offer documentation, contracts of employment and training contracts.
Assist with the welcome and induction of all new starters ensuring that appropriate actions are completed.
Process background checks for all new joiners and monitor completion.
Onboard all new joiners in a timely manner and ensure the HR System is up to date.
Monitor and flag Health & Disability declarations to the relevant HR Business Partner.
Management of offboarding administration tasks.
Supporting recruitment processes by providing administrative support, including:
Schedule interviews and room bookings and facilitate/administer remote and onsite testing for candidates at interview stage.
Ensure interview documentation is prepared and distributed to hiring managers in advance of an interview taking place.
Support the HR Advisor with administrative tasks relating to all work experience requests, and placements, as well as the completion of appropriate administrative actions to support their on-boarding.
What We’re Looking For
5 GCSEs at a minimum of Level 5 (grade C using the old system), including Maths and English Language, or equivalent.
3 A-Levels, with a minimum of 120 UCAS points, or equivalent.
Experience of working in a busy environment and to short deadlines.
Experience of working in a team environment with shared responsibilities and covering colleagues as necessary.
Strong administration skills, excellent accuracy and attention to detail.
Excellent organisational skills with the ability to effectively manage own workload.
Excellent communication skills, with the ability to communicate effectively with people at all levels.
Intermediate MS Office Suite (Outlook, Word, PowerPoint, SharePoint and Excel).
Comfortable working with HR systems and technology, with a proactive attitude toward learning and adapting to new digital tools and platforms to support HR operations efficiently.
